EO South Asia Future Leaders (SAFL)

1. Overview

This Cancellation Policy applies to all registrations for SAFL RIE IGNITE 2026 (“Event”), organized by EO South Asia Future Leaders (SAFL).

By completing registration, participants acknowledge and agree to the terms outlined below.

2. Registration Confirmation

A registration is confirmed only upon receipt of full payment of the registration fee. Until full payment is received, participation is not guaranteed and no seat will be reserved.

The registration fee provides access to official SAFL RIE IGNITE programming only.

Accommodation, flights, travel arrangements, and personal expenses are not included in the registration fee unless explicitly stated.

3. Accommodation and Travel

Participants are responsible for arranging their own travel and accommodation.

Accommodation may be offered through the organizing team at a designated event hotel at an additional cost, subject to availability. Participants may alternatively book accommodation independently.

Official event pick-ups and transfers will be arranged only from the designated event hotel. Participants staying elsewhere must arrange their own transportation to event venues.

4. Cancellation by Participant

All registration fees are strictly non-refundable unless otherwise specified in writing by the organizing committee.

No refunds will be issued for cancellations, no-shows, partial attendance, or failure to participate in any portion of the Event.

5. Exceptional Circumstances

In exceptional circumstances, including death in the immediate family (defined as spouse, parent, sibling, or child), the organizing committee may, at its sole discretion and upon receipt of appropriate documentation, consider a refund or credit.

Any such decision shall remain at the sole discretion of SAFL.

6. Transfer of Registration

Registration transfers may be permitted subject to the following conditions:

  • Transfer requests must be submitted in writing to the official event email address before the announced transfer deadline.
  • The replacement participant must meet eligibility criteria for SAFL RIE IGNITE.
  • Any difference in registration fee based on prevailing rates must be paid by the new participant.
  • A transfer is considered complete only after confirmation by the organizing team.

Transfer deadlines and detailed procedures will be communicated prior to registration opening.

7. Event Cancellation or Postponement

In the event that SAFL cancels or postpones the Event due to circumstances beyond reasonable control, including but not limited to government regulations, force majeure events, or safety considerations, SAFL reserves the right to determine appropriate next steps, which may include rescheduling, credit, or partial refund.

SAFL shall not be responsible for any costs incurred by participants related to travel, accommodation, or third-party bookings.

8. Travel Insurance

Participants are strongly encouraged to purchase comprehensive travel insurance covering trip cancellation, medical emergencies, travel disruption, and related risks.

SAFL shall not be liable for any losses arising from travel disruptions or third-party service providers.

9. Amendments

SAFL reserves the right to modify this Cancellation Policy at any time. Updated versions will be published on the official SAFL RIE IGNITE website and will take effect immediately upon posting.

Participants are encouraged to review this policy periodically.
